Why Flight Schools Need an Operating System

The flight training industry is growing, but growth brings complexity.
More students mean more flights to schedule, more instructors to coordinate, more aircraft and simulators to utilize, more training records to maintain, and more data to understand. At the same time, flight schools are expected to increase training capacity without compromising quality, safety, or compliance.
So how do flight schools prepare for what comes next?
That was at the center of a recent conversation between FlightLogger CEO Kasper Valgren and AFM.aero, as part of AFM’s Pilot Training Leadership Interview Series.

For years, digital training management has helped flight schools move away from paper records and manual processes.
But the operational reality of running a modern flight school extends far beyond training records.
Scheduling, student progression, compliance, documentation, aircraft utilization, simulator utilization, instructor resources, maintenance, and operational data are deeply connected. Yet many organizations still manage these areas through a combination of separate systems, spreadsheets, paper records, and manual workflows.

One area Kasper highlighted was student progression.
Knowing that a student has completed a certain number of lessons only tells part of the story. Flight schools also need to understand whether that student is progressing according to plan.
Are they ahead of schedule? On track? Falling behind?
FlightLogger's Student Progression Module is designed to make that easier to understand by comparing planned training progression with actual progression.
Instead of discovering delays late in a student's program, training organizations can identify potential issues earlier and intervene where necessary.

The pilot shortage is also a capacity challenge
The aviation industry's demand for pilots remains a major topic. But Kasper raised an important distinction during the AFM interview.
The challenge isn't only getting people interested in becoming pilots.
Flight training organizations also need the operational capacity to train enough qualified pilots while maintaining high standards.
Increasing capacity doesn't necessarily mean simply adding more aircraft or instructors. It also means getting more from the resources already available.
Better scheduling. Less administration. Clearer student progression. Improved instructor utilization. More efficient workflows. And an organization that remains audit-ready without requiring teams to constantly chase documentation.
Technology therefore has an important role to play in helping flight schools increase throughput without allowing operational complexity to increase at the same rate.
Three trends shaping the future of flight training
The conversation also explored some of the developments Kasper believes will increasingly shape pilot training.
Competency-Based Training and Assessment (CBTA) is changing how training organizations think about student performance and development.
AI and immersive technologies are creating new possibilities for how training can be delivered, analyzed, and improved.
And underpinning both is a continued move toward digital, data-driven training operations.
These developments make structured and connected data increasingly important.
AI is only as useful as the information available to it. Competency-based training requires training organizations to understand performance at a deeper level. And operational optimization depends on being able to see patterns across students, instructors, aircraft, training programs, and resources.
The flight school of the future will therefore not simply be more digital. It will be more connected.
Built together with flight schools
